The Role: Executive Assistant (contract)

We are looking for a meticulous, experienced, and independent executive assistant to join our team on a contract basis. This person will primarily support the calendar management and administrative needs of multiple senior executives while also taking on critical project management responsibilities across key departments, including Marketing and Post-Investment Support ("Platform"). The ideal candidate is a proactive, highly organized, and resourceful individual who can anticipate needs, manage competing priorities, and ensure seamless execution of administrative and project-oriented functions.

Responsibilities:

Executive Support

  • Manage complex and dynamic calendars for multiple executives, including scheduling meetings across multiple time zones and resolving conflicts.
  • Prepare agendas, meeting materials, and follow-up documentation for executive engagements.
  • Coordinate travel arrangements and manage itineraries.
  • Handle sensitive information with discretion and maintain strict confidentiality.

Project Management & Departmental Support

  • Marketing:
    • Support event planning, content production timelines, creative asset management and organization
    • Assist in managing external vendors and tracking project milestones.
  • Post-Investment (Platform):
    • Help track engagement initiatives with portfolio companies, including company onboarding, gathering data, coordinating meetings, and maintaining relevant documentation.
    • Grow and Maintain relationships with operations executives at portfolio companies
    • Help organize post-investment programming such as webinars, advisory sessions, and portfolio support events.

Administrative Operations

  • Maintain organizational efficiency by creating and improving administrative processes.
  • Assist in the preparation of reports, presentations, and internal communications.
  • Handle expense reporting and invoice processing for executives and supported departments

Qualifications:

  • Experience: 3+ years of experience as an Executive Assistant, Project Manager, or in a similar role, preferably in investment firms, technology companies, or fast-paced environments.
  • Calendar Management: Exceptional ability to manage multiple complex calendars with precision and efficiency.
  • Event Planning: Experience supporting the planning and execution of corporate events and conferences.
  • Project Management: Demonstrated experience managing cross-functional projects with multiple stakeholders.
  • Google suite and related tech: Proficiency with Google suite (Docs, Calendar, Gmail) and related tools e.g., Zoom, Microsoft Office), project management software (e.g., Asana, Notion, or Trello), and other collaboration tools.
  • Detail-Oriented: Strong organizational skills and the ability to juggle multiple priorities without missing details.
  • Communication: Excellent verbal and written communication skills; able to represent the firm professionally in all interactions.
  • Proactive: A problem solver who anticipates needs and takes initiative to resolve challenges before they arise.
  • Crypto Curious: Interest or experience in the blockchain/crypto space is a plus but not required.
